Sending layouts and other files / Allplan Exchange dialog box, column view

Using the Allplan Exchange dialog box (How), you can define the scope and the contacts for the current layout distribution using Allplan Exchange.

Activate the Allplan Exchange dialog box in one of the following ways

• The Layout module is open.

• Menu bar: Create Layout Allplan Exchange Layout Distribution

• Toolbar: Basic Tools Layout flyout Allplan Exchange Layout Distribution
• Palette: Tools Basic family Create area Allplan Exchange Layout Distribution

In addition, you can manage the layout attributes and project attributes of the current project.

Find layout name

You can apply a filter that will select layouts whose names contain a specific character string only (see "Filtering the layout structure").

Refresh layout structure

Updates the layout structure displayed (see "Updating the layout structure displayed").

It is advisable to regularly refresh the layout structure in particular when you are working in a workgroup environment and several users are involved in the same project or layout structure.

Add contact

Opens the Contacts dialog box you can use to select the contacts to whom the current package is to be sent (see "Adding contacts to contact list").

Important!
This tool is only available when you have logged in to Allplan Exchange using Log in (see below).

Info

Informs you of the reasons why the Add contact icon is currently not available.

Log in

Use this to log in to Allplan Exchange. To do this, you need the login details you were given when you registered for Allplan Exchange.

Important!
You cannot use the Add contact tool and the Contacts dialog box until you have logged in. Otherwise, you can only store files locally.

Add file

Adds a custom file to the distribution list of the currently selected contact (see "Adding custom files to distribution lists").

Add file to all contacts

Adds a custom file to the distribution lists of all the contacts currently specified in the contact list (see "Adding custom files to distribution lists").

Line view

Displays the contacts and distributions lists in lines (see "Allplan Exchange dialog box, line view").

Column view

Displays the contacts and distributions lists in columns (see "Allplan Exchange dialog box, column view").

Area on the left: Layout structure

The layout structure is displayed in accordance with the structure you defined for the project in the Layout module. You cannot change the layout structure in this dialog box. To do this, switch back to the Layout module.

Project

Displays the current project.

You cannot change the project in this dialog box. To switch to a different project, close Allplan Exchange dialog box and use the New Project, Open Project tool (see "Selecting the current project").

Structural level (= layout folder)

Displays the hierarchic structure of the project consisting of structural levels or layout folders. Each structural level can contain both layouts and additional structural levels or layout folders. Selecting or canceling the selection of a structural level automatically selects or cancels the selection of all the elements that are subordinate to this structural level.

Layout, Linked layout

Displays the layouts and linked layouts with the names you assigned in the Layout module.

Select the check boxes of the layouts you want to send. You can display a pictogram-like preview of a layout by pointing to the Layout or Linked layout icon.

Area on the right: Contacts and distribution list

Displays the layouts and files to be sent to each contact of the current package.

Contacts

List of contacts to whom the current package is to be sent.

You can add contacts to the list using Add contact and remove contacts using the right mouse button (see "Specifying the contacts to whom the current package is to be sent").

The following buttons are provided for the individual contacts:

• Path for local file storage (onlywhen contact is Local file storage):
  you can display and change the folder where the layouts and files intended for local file storage are saved (see "Specifying defaults").
• Format:
  you can display and change the data formats of the layouts to be sent to the relevant contact (see "Specifying data formats for contacts").
• Define layout filter or Layout filter: Active
  You can control the contents of the package to be sent to the relevant contact by setting a layout filter (see "Setting a layout filter for contacts").
• Email (not available when contact is Local file storage):
  you can display and select the message(s) in the distribution note (see "Setting the message in the distribution note").

Name

File name(s) of the file(s) to be exported or distributed:

• In the case of Allplan layouts, the name of the export file in accordance with the conventions currently specified in the Settings dialog box (How) (see "Defining conventions for file names").
  

  Activate the Settings dialog box in one of the following ways:

  • The Layout module is open.
  • Allplan Exchange dialog box (How) is open.

  • Menu bar: ---

  • Toolbar: ---
  • Palette: ---
  • Button: Settings (at bottom left)
  • Shortcut menu: ---
• In the case of custom files, the file name at the time when the file was added to the distribution list (see "Adding custom files to distribution lists").

Format

Data format(s) of the file(s) to be stored locally or to be uploaded to Allplan Exchange:

• In the case of Allplan layouts, the data formats set for the relevant contact. You can specify different file formats for every contact (see "Specifying data formats for contacts").
• In the case of custom files, the original data format at the time when the file was added to the list (see "Adding custom files to distribution lists").

Settings

Opens the Settings dialog box you can use to specify the following:

• Conventions for file names (see "Defining conventions for file names")
• The current template for the distribution note (see "Defining the contents of the distribution note for the current package")
• Defaults for local file storage and export (see "Specifying defaults")
• The default setting for data formats (see "Defining the default setting for data formats to be used for new contacts")

Layout and project attributes

Opens the Layout Attributes dialog box you can use to define layout attributes and access the Project Attributes dialog box.

Logs

Opens the Completion logs dialog box you can use to display a detailed list of all uploads you have carried out from your Allplan workstation.

Buttons

Export ...

Opens the Export dialog box you can use to export the layouts and files to be sent to the individual contacts (and thus set up the actual packages) and to start sending or uploading these packages.

Close

Closes the dialog box without carrying out any other operation.
